Business Development Support Specialist

The Business Development Support Specialist coordinates the sales, design, and estimating stages of the proposal process. They will be involved in coordinating project information, tracking the design and estimation of projects, and taking the lead in proposal creation. The position coordinates trade shows and works with assigned sales reps to help develop contacts and sales leads. This position is responsible for the implementation, configuration, management, and overall user support, data integrity, and system administration and process maintenance for HubSpot CRM and ShareFile.
Essential Duties
Sales Support for Commercial, Industrial, Agricultural, and Dome Sales Teams
Oversee and maintain proposal templates, ensuring timely communication of updates and revisions
Support the development of commercial and Tier 3 project proposals
Maintain and update building information sheets
Serve as a point of contact for inquiries from drafting and estimating teams regarding ongoing projects
Review and verify accuracy of drawings and labeling against building information sheets
Create all project proposals
Coordinate hand-off meetings of sold-won projects to ensure smooth transition to execution
Compile documentation and manage tasks for project kick-off, close-out, and pre-design meetings
Manage and track data for agricultural, commercial, and dome trade shows
Collaborate with sales team on trade show attendance and sponsorship opportunities
Provide support in establishing meetings with key customers and vendors
Represent the company at designated trade shows
Attend dry fertilizer standards meetings
Inside Sales Support
Take the lead on initial contacts for key organizations, i.e. IRPT
Work with Dome Business Development staff to coordinate leads in their trade areas
Provide general support for Dome Business Development staff
General Business Development Support
Manage the HubSpot CRM platform, serving as the primary point of contact for all application-related support and reporting needs
Fulfill requests for CRM metrics and reporting, including departmental KPIs for Sales, Marketing, and Operations, as well as ad hoc reporting projects
Oversee the creation and maintenance of system training materials and documentation
Develop dashboards, reports, contact lists, alerts, and notifications tailored to department and role-specific needs to support sales leadership in performance tracking and forecast accuracy
Ensure data integrity through oversight of data imports, system integrations, routine audits, cleanups, and workflow management with an emphasis on scalable, sustainable processes
Monitor CRM compliance, including proper logging of sales opportunities and follow-up activities as deals progress through the pipeline
Coordinate HubSpot-driven marketing campaigns and ensure follow-up with Business Development and clients as needed
Promote end-user adoption of HubSpot through hands-on support, system administration, data maintenance, integration management, and reporting oversight
Lead weekly priority update meetings and project review sessions to support pre-planning and execution
Participate in the estimating and proposal development process, including detailed reviews and evaluations
Education and Experience
Associate’s Degree in Business Administration, Accounting, Economics, Information Systems
2+ years of experience in Sales, Business, or a similar role
Construction background beneficial but not required
Strong working knowledge of MS Office (Word, Excel, PowerPoint, and Outlook)
Proficient in CRM applications with a demonstrated understanding of how CRM is used in Sales
Proficiency in HubSpot preferred
Position Qualifications
Detail-oriented, organized, and capable of prioritizing, problem solving, and multi-tasking
Demonstrated understanding of sales performance metrics
Ability to identify actionable insights through data analysis to support data-driven business decisions
Experience creating reports, optimizing processes, managing dashboards, and software training
Ability to drive continuous process improvement and efficiencies required
General understanding of contracts and legal language required
Flexible, collaborative demeanor with the ability to work independently
Strong interpersonal skills, excellent communicator with ability to present and influence outcomes
Travel Requirements – Minimal travel (less than 10%) required for this position.

Employee may be required to visit construction jobsites which may expose the employee to dirt, dust, uneven surfaces, outdoor weather conditions, and extreme temperatures. In addition, employees must be able to move around prospective or current project sites. This includes climbing ladders, walking on uneven surfaces, walking long distances, and climbing stairs.
